File Sharing from Microsoft Outlook® 2007

You have to send a sales proposal to a client to meet a deadline. You do all the work, compile all the necessary documents together and package them up and send it via e-mail well before the set deadline. However unbeknownst to you, your recipients e-mail server limits the size of e-mail attachments and your attachments is removed by the server. All your hard work does not make it to the intended recipients and as a result you miss the deadline.

Good News! Acrobat.com now provides a Plugin for Microsoft Outlook 2007 for easily, securely and reliably sharing documents from your desktop e-mail client by making it as easy as adding an attachment. Try it for yourself.

E-mail has become one of the primary means of communicating and scheduling with colleagues, customers and friends. E-mails often involve sending out large email attachments. However you are left guessing whether the e-mail recipients actually received the files you sent them. Different restrictions on the size of attachments and spam filter policies means that not all attachments get through.

The Acrobat.com Outlook Plugin provides:

  • Seamlessly sending links to files in your Acrobat.com account from Outlook:

    After installing the plugin, when composing a new mail or a calendar invite you will see a new tab called Acrobat.com.

    To attach a file click the "Insert File as Acrobat.com Link" button. This will ask you to sign into your Acrobat.com account and allow you to pick a file from your local file system to attach with the e-mail.

    You can also choose whether to restrict access to the document to the e-mail recipients (restricted access) or to allow the file to be accessed by other, in case your e-mail gets forwarded (open access).

  • Reducing exchange server traffic and storage needs:

    You can set up a preference in Outlook to automatically send links rather than sending attachments when sending files over a certain size. You don't have to think before sending an attachment whether to send it as a link or an attach it to the e-mail. The plugin automatically uploads e-mail attachments to your Acrobat.com account and adds links to the e-mail based on your set preferences.

  • Share files already in your Acrobat.com account:

    You can also insert files that are already in your Acrobat.com account. When you click the "Insert Link from Acrobat.com" a panel opens on the right which displays the files that are already in your Acrobat.com account and allows you to insert them into e-mail by simply double clicking on the file name. You can also search for file by typing in the search box or by Sorting files using the drop down menu. The e-mail recipients get added to the sharing list for the file on Acrobat.com

  • No need to manually add everyone from a mailing list to shared files:

    And best of all, if you want to share something with an Exchange mailing list (which most of us do very often), the plugin will upload the attachment(s) to your Acrobat.com account and automatically add everyone from the mailing list to the sharing list for the document. This is my favorite feature, beats having to manually type several email addresses when sharing a file!

  • Easily invite people to your personal meeting room URL:

    When scheduling a meeting or in an e-mail message, you can insert your personal ConnectNow meeting URL by a single click of a button.
