Digital Spring Cleaning Checklist

Spring is finally here! We survived the onslaught of polar vortexes, heavy snow, hard rain and traffic delays—and now an end to the brutally cold is officially in sight. Just as spring cleaning refreshes the home and rids it of clutter, we thought we’d try a different spin on this yearly ritual. If you organize your computer like we do (and we use the term “organize” loosely here), your desktop is filled with PDF files you haven’t opened in months, or multiple, redundant copies of files that are taking up valuable space. Here are few ways we’re digitally cleaning up our filing system in the spirit of springtime:

Cleaning Tip #1: You have a bunch of similar files (but different file types) and you want to combine them all into one file for easy storage and access. Easy. Cleaning Tip #2: Why store documents on your computer when you can stash ‘em in the cloud? This accessibility will make doing business from anywhere as easy as a spring breeze.

Cleaning Tip #3: When working with so many documents, it can be easy to lose track of what, exactly, you’re trying to accomplish with each one. Prepare PDFs consistently and make sure you never miss a step by creating an automated Action to complete PDF preparation tasks quickly and correctly every time. You can even create an Action to make your documents archive-friendly, helping you get them off your desktop easily.

Cleaning Tip #4: Being organized means knowing where your files are, but also knowing what’s in them. Make PDF files easily accessible so you can navigate longer files quickly and always find what you need—even when it’s way back on page 147. With tagged PDF files you can make your documents easy to navigate and, as an added bonus, accessible to people who might be reading your document with a screen reader for assistance. Once tagged, use structured bookmarks to create various TOCs and navigation techniques to make finding content in a PDF as easy as picking daisies!

Cleaning Tip #5: We’ve seen PDF files get as big as 92,000 pages. To avoid wasting time sifting through “junk” in your files, extract only the pages you need and combine them in a separate PDF. This way, you can create a go-to master PDF that will save you time and sanity.

Go Green in the Office while Athletes go for Gold

It’s time to celebrate the Olympics with the anticipated kick-off of the 2014 games in Sochi. While only the most dedicated athletes are rewarded with the opportunity to go for the gold, silver and bronze medals, we at Adobe have been gathering some tips and tricks to help you achieve something much more attainable – going green.  After all, a few simple changes within the office will save money and time, foster organization, and most importantly leave a better impact on the environment so generations to come can enjoy the outdoor games. Without further ado, we give you the 2014 line-up on how to “go-green” with Adobe Acrobat.

  1. Sign documents anywhere, anytime and – most importantly – online- Send a document, get it signed, and track and file the form in minutes instead of days or even weeks. In addition to saving time, you’ll be saving trees when recipients sign electronically.
  2. Email your PDF file using Gmail or Yahoo- Yeah, yeah, email is green – we know. But Acrobat makes it super easy being green. Just hook your webmail program up to Acrobat for simple message attachments.
  3. Take your PDF file with you on the go- No need to print multiple copies for clients or for yourself to view on the plane. With 6 billion mobile subscribers worldwide, more and more people are reading PDF files on their mobile devices than ever with the Adobe Reader mobile app.
  4. Make your PDF files available online- Convert a PDF into an editable HTML file that maintains images, tables, hyperlinks, and table of contents. You’ll be able to share and have access to your PDF whenever you’re connected to the web!
  5. Share your PDF files on social media-  No more flyers and printouts! Whether you’re social media savvy or just getting started, this tutorial teaches you how to create an interactive button in your PDF, making it easier for readers to retweet your work on Twitter.

Super Fun Acrobat Features to Help you Celebrate the Big Game!

The first Sunday in February is practically a national holiday in America. Die-hard footballs fans to casual viewers across the nation all come together to watch the big game, do their finest side-line officiating, and make their best attempts at predicting the final victor and score! With the teams locked down for this year’s matchup, we at Adobe want to make sure you are prepared for the big show down. Below is a list of how-to’s we created to assist you in anything you might be putting together for your big party or office pool.

Engineering the best solution

The underwater engineers at Subsea 7 have thrown excess software costs overboard by bundling their Adobe software solutions into an enterprise license agreement. A recent merger revealed that Subsea 7’s offices around the world deployed software such as Adobe Acrobat, Adobe Photoshop, and Adobe InDesign inconsistently.

“Working with Adobe to build an enterprise agreement has helped us better understand our Adobe software assets, and has consolidated and simplified purchasing and deploying Adobe software,” says Rachael Coull, Subsea 7, information technology compliance director.

The total cost of ownership for Adobe solutions dropped 28%, and deployment and maintenance have been improved.

11 things to be thankful for in Adobe Acrobat XI

Happy Thanksgiving, all you turkeys! We hope you’re all ready for tomorrow; we bet all the pies have already been made, and the turkey is basting, and… oh, who are we kidding? We bet you’re all still at work, trying to finish up those last few lingering tasks before heading out the door (and we know that because that’s what we’re doing, too) – but your mother has already called three times today just to “check in”, your sister-in-law is asking you to please leave the dog at home this year, and Aunt Mildred wants you to bring your famous chutney.
