Government 2.0, Powered by Connect Pro

President Obama has paid a lot of lip service to his emphasis on streamlining government. This was further emphasized by a few announcements this weekend including his appointment of a Chief Technology Officer and Chief Performance Officer and his request for cabinet officers to find a way to eliminate $100 M from their budgets by finding new efficiencies.

But the proof is in the pudding, right? Well the U.S. Department of State, which has to be one of the most geographically dispersed organizations in the world with embassies and diplomats stationed around the globe, has been really ramping up their Connect Pro usage and to great effect.

We've just published the results of an audit of Adobe's internal usage of Connect Pro. Among the results:

Connect Pro and the US DoD

One of the largest user of Connect Pro is the US department of defense. 2 years ago, Adobe won a major contract with the Defense Information System Agency (DISA) to deploy Connect across the US DoD.
The deployment has been hugely successful and Connect Pro received a great endorsement from LTG Sorenson at the Web 2.0 Summit last november. He shows an Army collaborative program called Stryker Warfighters Forum where Stryker Brigade leadership around the world come together via Connect to talk about lessons learned with Stryker Brigades currently in the middle east (starting at 7:35 in the video).
Many US army units located in Iraq and Afghanistan use Connect to conduct battlefield briefing. Using Connect Pro reduce the number of movements in hostile territory to attend a briefing and is credited to saving many lives.

What's New in SP2

In the next few weeks we will be launching a service pack (Service Pack 2) for Connect Pro 7. This is a maintenance release that includes many key bug fixes across all application modules, including Acrobat Connect Pro Meeting, Training, Events and Server. Note that the system requirements have not changed from Service Pack 1: Flash Player 9 is required to launch Connect Pro Central (the home page of the Connect Pro Server) and meeting participants must have Flash Player 8 to enter meetings.

As is our standard practice, the installer for on-premise implementations will only work for new installations of Connect Pro Server 7 or Connect Pro Server 7 Service Pack 1, or installations already upgraded to Connect Pro Server 7 or Service Pack 1. The hosted service will be automatically upgraded for all hosted customers.

This isn’t an exhaustive list, but some of the key fixes in the release include:

Recordings
Issues where viewers of recordings would occasionally become stuck at the “Connecting …” screen, or else be unable to seek within the recording, have been addressed as well as the recordings of meetings where the presenter switches layouts from screen to slide sharing with intermittent loss of synchronization, requiring the viewer to page through slides manually. We also addressed some problems seen when seeking through a recording during playback, whereas it was possible to reset visual playback to the beginning of the recording. Lastly, an issue was resolved when selecting “Record audio from speaker phone” in the Record Options window the Talk button in the meeting became disabled. In SP2 the Voice Options menu next to the Talk button is also disabled.

Connect Pro Central
Some issues with burst packs so that notification emails are now sent properly when quotas are reached and with Cost Center reports showing inappropriate items for the account in use have been resolved.

Events
For the Events module we’ve cleaned up an issue regarding the option to require approval after registering for an event is selected; users may now properly register for the event.

Telephony
False errors that were sometimes generated when starting an audio conference are no longer reported and occasional disconnects from the audio conference service are now properly represented in the meeting. We are also adding support for Premiere Global Service's dedicated European audio conferencing bridge on our hosted service.


VoIP
The microphone gain level is no longer reset when the audio wizard is started and when multiple speakers are talking, the speaker icon next to the user name in the attendee list pod no longer disappears after turning voice off and on.

Meeting
We fixed a problem where occasionally users would be unable to enter meetings (remaining stuck on the “Connecting …” page) and an occasional issue of when some when users attempt to log in to secure meetings over http, they are now properly redirected to https.

On-Premise Server
Three issues specific to on-premise deployments will be addressed, including an issue with LDAP Synchronization where some users fail to become associated with a manager, there were some gaps in the logging of server activities, and several of the system configuration settings have been fine tuned in order to enhance the stability of the server.

Connecting Connect Pro to the telephony world at large

I'm working on a particularly exciting initiative for the Connect Pro team at the moment.

Right now when it comes to audio/video integration Connect Pro is kind of land locked in many respects. We take advantage of some cool native capabilities of the Flash Platform, a streaming protocol, RTMP and an audio codec NellyMoser to provide the built in VoIP and streaming capabilities, unfortunately these capabilities are not broadly supported outside of the Flash Platform ecosystem.

There is nothing wrong with RTMP or NellyMoser, in fact both capabilities have helped the Flash Platform become what it is today, a ubiquitous rich client platform. However the audio / video communication industry has begun to converge around a set of standards which are generally referred to under the umbrella of a single standard, SIP. The reality is a little more complex and convoluted but not the subject of my blog post.

So for Connect to collaborate in this ecosystem of interoperable audio / video communication software platforms and devices we needed to bridge the Flash specific protocol of RTMP with SIP (one of two common presence specifications) and RTP (a common streaming protocol for VoIP) and enable transcoding between NellyMoser and G711 (the most widely adopted audio codec for VoIP).

The exciting news is that's what we've done, we've built a gateway between Flash Media Server and the VoIP world that bridges protocols and transcodes audio. Further more we've integrated that with Connect Pro so you can communicate using Connect Pro and SIP based audio platforms.

Last week we launched these technologies in an early beta, specifically we have two beta's available to participate in

1. A beta of the gateway to Flash Media Server, you can use this with SIP audio platforms to integrate between Flash based applications and the SIP infrastructure. This includes a process, API and documentation. You'll need a licensed or developer version of Flash Media Server, a Flash development environment and some Flash and SIP skills

2. A beta of the integration into Connect Pro on Adobe's hosted platform. You'll need a Connect Pro Hosted account and you'll be able to make US toll free calls from Connect Pro meetings.

I've spent the better part of the last two months attending and presenting at elearning industry conferences, and was surprised to hear this question on more than one occassion. Instructors and Training Managers were ready to embrace new ways of engaging their audiences in VCs (as described in my whitepaper on connectusers.com), but beyond holding straight lectures to meet a single immediate need, were curious what kinds of training occurs in other organizations with different needs.

Hi All,

Bringing the ColdFusion based Connect facade to Flex

As you may know last month I built the beginnings of a ColdFusion based facade for making using the Connect XML APIs simpler to use via ColdFusion. Since building the initial facade I haven't managed to progress the core CFC a great deal, but this month I decided to focus on demonstrating how using the ConnectFacade.cfc to quickly bring Connect based content into their own flex based applications.

Here is a very simple example of using the Flex datagrid control and binding that to the ConnectFacade.cfc as a RemoteObject. This is a step towards the end goal of taking Connect content offline using LiveCycle Data Services

Announcing Connect Pro 7 Service Pack 1

Connect Pro 7 Service Pack 1 will be made generally available to Connect Pro customers in all supported languages on November 7, 2008. The service pack includes many key bug fixes across all Connect Pro application modules including Acrobat Connect Pro Meeting, Training, Events, Server, and Presenter.

The service pack also includes a number of enhancements such as:
• Accessibility
1. Menu navigation: Use arrow keys to navigate the menu within your meeting room.
2. Keyboard shortcuts: Use chording to control key meeting functions.
3. Tab navigation: Cycle through pods and options with the tab button.
4. Color customization: Set a custom color to highlight pods within your meeting room.

• Two New Languages—Russian and Turkish
• Extended Overage Capabilities—hosted customers can purchase packs of 5,000 prepaid overage minutes to increase the capacity of their meetings up to five times their purchased capacity.* Overage minutes can now be applied to Named Organizer meetings, in addition to Concurrent User meetings.
• Expanded Reporting Capabilities—hosted customers will now have access to a far richer reporting environment with a new easy-to-use report building interface.

Using the Connect Pro web service API with ColdFusion

Part of my current focus in my product management role on the Connect team is the Connect Pro web service APIs (you can find more documentation on what they are here). Given my background in ColdFusion I thought it would be an interesting experiment using the API's inconjunction with ColdFusion. I was surprised to find very little via google on using ColdFusion with Connect as I'm sure it's something lots of folks have played around with.

Anyway as part of my learning I've started to pull together a CFC facade that makes achieving common API calls less verbose and returns Connect XML structures back to the ColdFusion developer as Query objects types (as I prefer them to work with given the increased ease, flexibility and performance over XML object types from within ColdFusion.

It's pretty rudimentary at this point as I've only invested a couple of hours of time, but wanted to share the CFC with you.

Currently I've only implemented the following Connect API methods

- login
- logout
- get-my-meetings

I've done no code optimisation or refactoring, so please no comments on how shoddy the code really is ...

The important thing to note here is what this code would need to look like without the Connect Facade CFC, which is something like this

As you can see it's fairly basic at this point, but as the coming weeks I plan to further expand the API coverage, optimise the code and then start to integrate it with LiveCycle Data Services to demonstrate taking Connect content offline using an AIR application.

Training Media Review Best Product 2008

Last week Adobe Acrobat Connect Pro was the proud recipient of Training Media Review's Best Product of 2008 designation, which came via a Four Star Review authored by Jan Cornelssen, Manager of Technical Training at Cisco Systems.

Cornelssen comments that Connect Pro is, " The Mercedes Benz of webinar tools" and notes that "[ Acrobat Connect Pro ] is the most robust web training and conferencing tool I've ever seen."

Key excerpts include an overview of the Connect Pro Virtual Classroom interface and a walk through of Connect Pro Training, a system that enables the management of eLearning content and individual learner tracking.

To sum it up, Cornelssen advises, "If your training department needs to define, monitor, and track learning events, this application does it better than anything I have used."

We couldn't agree more!

Resource Center Updates

By now those of you following this blog are likely already active users of ConnectUsers.com. If not, go now and sign up at http://www.adobe.com/resources/acrobatconnect/. This is a great place to connect with other users in your area, or working on the same kinds of web conferencing and online training projects that you are, as well as to find more information and resources to make you a power user of Connect Pro.

You may not know that we are also working to enrich and udpate the information we offer on adobe.com, at the Adobe Acrobat Connect Pro Resource Center. http://www.adobe.com/resources/acrobatconnect/.

Quick Start Guide: don't be fooled by the inconspicuous link to the Quick Start Guide. This is a little page with 11 demonstrations on some of the more common things you might want to do in your meeting, like encourage student participation in a virtual class, use breakout rooms for the first time, or customize your meeting room.

The other resources are divided by role - such as Administrator, Meeting Host, or Training Manager - and are updated on a monthly basis at minimum. Detailed presentations and demonstrations will really enhance your knowledge of managing and using all aspects of Connect Pro as well as Adobe Presenter.

Set aside some time once a month to take a look at what's new on the resource center. If you would really like to see something added, let us know here or on connectusers.com.

Connect Pro Events for Capturing Leads

The Connect Pro Event Management application is often overlooked in the Connect family of applications. However it offers some wonderful features that allow it to do things that would be difficult to do otherwise. Event Management is really a way of inviting people or allowing open registration to something (like a webinar), capturing registration data (including answers to your own custom questions), then automatically sending out all the necessary emails such as reminders, updates, and “thank-you”s.

But the event itself doesn’t have to be an online meeting. For example, you may have used an online Connect Pro meeting as a webinar to launch your new product. You could certainly use Event Management to capture all the leads to that live event. But after the webinar you’d like to use the recording of the meeting to capture leads too – Connect Pro Event Management can help. Connect Pro Resources

While we continue to add to our Resource Center, there are a number of other great resources out there for you to help you get the most out of Connect Pro. I always like to learn as much as I can about a product I use, so thought I’d point you to a few resources that will help you do just that.

First, if you haven’t been to our online user community – ConnectUsers.com – I highly encourage you to do so. We launched it in September of 2007. There has been quite a bit of activity on our forums, and there a number of tutorials available for you there. It’s a great place to see how others are using Connect Pro and to gain access to expertise from other users, Connect partners and the Connect Pro team. I also think the Adobe Connect User Group AsiaPac does a great job at highlighting and organizing some key resources and documentation to help you get started and learn best practices.

I am quite impressed by the extensive community site that Penn State University created for their Connect Pro users. No doubt it’s led to great adoption of their program. If you’re trying to help drive adoption at your organization, you might want to consider creating something similar.

Bona Fide Virtual Classroom Trainer

I used to be a certification addict. As a young woman teaching MCSE courses in the late 90’s (when NT4 was new and exciting), I believe this was in fact critical to my job. I set aggressive goals to obtain new credentials once a month, and added them like clockwork, studying most days after a full day of teaching, and ‘volunteering’ to administer the systems at the training company where I worked.

Now that I’ve been in training and elearning for over 10 years, I’ve definitely cooled off on the whole certification thing. Who has time for it? What does it matter when I can refer to my years of actual experience? At this point would it really make any difference to what others think of me?

A recent meeting at CompTIA (www.comptia.org) has brought me full circle to my old driven nature to get another certification fix. I was one of a group of virtual classroom training SMEs who met to discuss the differences and similarities between physical classroom and virtual classroom training, and how one can assess the efficacy of an online instructor with as much objectivity as possible. CompTIA offers the Certified Technical Trainer (CTT+) certification for physical classroom instructors, and plans to roll out a similar certification for virtual classroom trainers in Q3 of 2008. I attribute my change of heart regarding the attractiveness of mid-career certification to two realizations stemming from this two day meeting.

Awesome use of Acrobat Connect in the Wild

As I started to refamilerise myself with the Connect product family (my previous role at Adobe was heavily focused on LiveCycle, Flex and platform technologies) I came across an awesome case study that I must of missed while I was focused on the LiveCycle business. Peter Ryce, our Connect Evangelist (or Connectionist as he likes to be known as) leads a group of the US Military through a demonstration of how they use Connect in real time operations. This example I found truly inspiring, it one of the best uses of Connect I’ve seen and in addition a fantastic example of the value rich internet applications can bring to an organization.

How we use it- Employee Meetings

Two weeks ago, Adobe had its quarterly employee meeting. Because of our large employee base in San Jose, we hosted the all-hands meeting from a nearby auditorium that seats over 1500 people. We also have multiple other sites and countless remote employees, so Acrobat Connect Pro comes in very handy in order to reach these employees. Webcasting our employee meetings makes obvious sense, but it also comes with some challenges. These quarterly meetings often include live software demos, videos, and multiple presenters, all packed into a 1 1/2 hour production that has an audience of more than 5000 people.

Because we are working at a live event outside of our normal conference rooms, we need to work with the production crew that produces the event to get the camera and audio feeds. In order to broadcast these feeds out through Acrobat Connect, we set up a desktop PC backstage with a video/audio capture card. This works great to capture the live production cameras along with the PA audio. During the employee meetings, there are also many great live demos of up and coming products. To capture these, we simply have the live demo team login into the Acrobat Connect Meeting Room, and then share their desktop before their demo.

Because there are multiple agenda items and presenters, we create separate layouts for each agenda item, so we can stay organized and also follow the flow of the event. This works well, especially when we are switching from a layout that features a flash video to a layout that features a presenter going over some slides. No need to scramble when you can customize all of the layouts ahead of time with their own names and in the order of the agenda. After all the layouts are setup, we upload all the finished slides and converted videos into the content library for easy access.

As for the demos, we used the "screen sharing in prepare mode" trick I wrote about a few entries ago. This helps the event run flawlessly, because the last thing on a live demo presenter's mind is to share the screen over Acrobat Connect when you are in front of more than 1500 people!

In addition to the production of the show, the way the event and meeting room is setup is equally important. Because this is a confidential employee meeting, security over Acrobat Connect is crucial. To address the need for security, we use the event module to invite our remote employees who need to view the event over Acrobat Connect. This way, we won't have to worry about accepting any unregistered guests. If they weren't invited, they won't be let in to the meeting room. It is also very easy to add attendees on the fly using the enterprise manager. All they need is the link and their own personal login, so I don't need to worry about being a gate-keeper, Acrobat Connect Pro does it for me.

With any large event, there are always some surprises involved. This particular meeting had a presenter change at the last minute and a live demo from a remote site. Easy enough. We just changed the name of the new presenter's layout, and changed the title slide and reloaded it into the content library. For the remote demo presenter, we had him login to the meeting room and share his desktop. We had our PC send the VGA signal to the production crew so they could broadcast the Acrobat Connect Meeting to the live audience over the projector screens and used the Full screen toggle for a crisp, live demo experience. The remote demonstration looked great on the big screen in front of more than 1500 people!

A live broadcast of an employee meeting is very valuable, but even more valuable is the archive that we capture. Because we use multiple layouts, the archive can be divided into a table of contents, and easily navigated for later viewing. Also, we can set access permissions for these archives, so employees are required to login to Acrobat Connect Pro in order to view them. If we need to take the archive down at any time, we can just take away all the viewing permissions for that particular piece of content.

In summary, it's easy to broadcast these large events using Acrobat Connect Pro. All you need is a PC with an internet connection and an A/V capture card, some content, and an A/V feed from the PA system or a production crew. Below is a screenshot from our last employee meeting.

Discovering Templates

Today we'll take a look at the best way to use meeting templates with Acrobat Connect Pro. Just like an email template or spreadsheet template, meeting templates are a powerful tool that can save you time when you create multiple meetings based off the same design or layout scheme. Before I get into how to effectively use templates, let's take a look at how to create one.

As a regular user, you have the ability to create your own personal meeting template. In fact, it's so easy, you can create a template from any of your existing meetings. The only thing you need to do is move one of your existing meetings into your "My Templates" folder. Done. See how easy that is? Suppose you don't have a meeting that is worthy to create a template from. Start from scratch and create a new meeting. Before we start creating our template, let's take a look at what information a template stores.

Layouts, pods, and most contents and room information are preserved in the template, including the following:

* Layouts with name, order, and starting (selected) status
* Pods with name, size, position, and settings for full-screen toggle
* Pod content
* Page number in FlashPaper and position of the seek bar in Flash Video (FLV file)
* Whiteboard overlay contents
* Poll state (Prepare, Open, Close), questions, answers, and broadcast results
* Questions and answers, Chat pod link, and status (Open, Answered, All)
* Text in Notes pod
* Camera and voice settings
* Room on hold (Yes, No)
* Value for guest entry
* Messages to be displayed to users when a meeting is on hold or ended
* Room background, screen resolution, and bandwidth
* Presenter Only area status

So, in effect, almost anything you put in your meeting room including content, notes, layouts, pod locations, etc will be there when you create a new meeting from a template. Cool - huh?

Another great feature about templates, is that once you make a template, you can always go back and change it or tweak some things. We all misspell things or forget content.

To create a template, create a new meeting (or modify and existing one) and create all the layouts and pods that you want to have in your template. Also, the template will remember what layout you left off on, and what status the meeting was on (On hold, block users, open, etc) After your template meeting is finished, simply move the meeting into your template folder. Next time you create a new meeting, you will have the option to choose that template from the template pulldown menu.

If you think this is a template that everybody would benefit from, ask your account administrator to move it into the shared templates folder.

To give you some ideas on how templates can best be used, here are some ways we use templates at Adobe.

1. We use Acrobat Connect with our large meeting rooms, and we frequently integrate the voice and camera pod with these meetings. Because they are large meetings, more of the focus is on slides and other content than chat/polls/etc. We've created a template that reflects this focus and also has renamed some of the pods and layouts - instead of the "chat" pod, it's called "questions for the presenter"
2. A while ago, our Knowledge worker business unit asked us to create a template for their sales staff. This template not only has content specific layouts, but it also has all the relevant content included in all the appropriate layouts. This content includes a custom background, videos, presentations, and PDF's in the file sharing pod. It's basically a virtual starter kit for our sales staff when they have to create a connect meeting room for a customer.
3. We conduct over 50 eSeminars a month, and many of them are new topics. To make creating these rooms easy, we've created a template that has specific layouts according to our eSeminar flow. We've also created polling questions that we ask in every eSeminar. That alone saves us the time from cutting and pasting polling questions 50 times a month!

Hopefully this will give you some ideas on how to create templates and how to use them effectively.

Web Conferencing on Devices

For fun, we’re setting out to see how many devices support the Adobe Connect meeting experience. Since we only need Flash Player to attend a meeting – it’s easy to see why “it just works”. There’s no need for Java or custom applications to be installed. And there aren’t any permissions problems because the Flash Player is pre-installed on so many operating systems that it is already there when you need it.

Last week I was talking to a friend of mine at Sony and asked him to log into my meeting – from his Sony PlayStation 3 – and it worked! Here’s a link to the photo he took while we were whiteboarding on an image. My video camera was live at the time.

Web Conferencing on the Wii

We talk a lot about how important the ubiquity of the Adobe Flash Player is for removing the technical barriers that are introduced with many other web conferencing solutions.  That ubiquity was taken a step further when one of our users discovered that Adobe Acrobat Connect runs on the popular Nintendo Wii game-console.  I have to believe that's an industry-first!

Acrobat Connect Enabling Community Participation

Kurt Foss has written a great article talking about the Acrobat User Community adopting Acrobat Connect as a tool to enable greater participation in group meetings. This is a great example of the power of using collaboration tools to bring together a geographically-disperse set of users.

Kick the tires of Acrobat Connect

Acrobat Connect went live recently, and if you haven't had the opportunity, I highly recommend you take it for a spin.  You can learn more about the service and sign-up for a free trial (through the end of the year) by going to:

There are countless ways in which you can benefit from this service, but here are a few of the ways in which I use the service every day:

  • Team collaboration:   I regularly use Connect for my team meetings and collaboration.  With people located around the world contributing to the product, it's essential to be able to communicate and share information in real-time to work more effectively.  Even when collaborating with co-workers who are sitting in the same room (yes, we still do have physical meetings on occasion), its not uncommon for everyone to be in a Connect room sharing documents while a room-projector goes unused!
  • Customer communication:  Connect has become a vital tool for communicating more often and more effectively with our customers.  Requirements review, roadmap discussions, etc... can all be accomplished through web conferencing and collaboration services.
  • Document review:  I review a number of documents (specs, data sheets, market data, etc...) over the course of the day, and am often asked to provide feedback/comments/etc...  In many cases, it's easier for me to pull someone into my personal meeting room, so that I can show and speak my feedback in real-time.  With support for escalating into my personal meeting room right from within Acrobat 8, I can very quickly launch into screen-sharing and telephony to communicate my feedback.

Finally, given that tomorrow is a national holiday, I'll let you in on another use-case:  it's a great way to interact with your family if you can't make it home for the big day.  While we haven't yet completed development on the "turkey-aroma" pod, you can certainly use Acrobat Connect to see your family or friends, and wish them well.  One important warning for all of you tech-folks who are looked upon to provide free family IT support:  don't tell them about the "remote control" feature or you'll be getting a lot more calls for support (trust me on this one...).
