I would like to welcome Chris French the AEC Product Manager who was kind enough to submit a blog entry that is going to tell us all about Acrobat 9 and its exciting new features. Chris French writes:

It's the result of several long months of hard work and I'm excited to finally be able to talk publicly about it. Acrobat 9 was announced this morning and it has a lot in it for Architecture, Engineering, and Construction professionals.

Before I call out some specific functionality, let me say that if you thought there was a lot in the Acrobat box before, you'll be amazed at what's in there now. This is the first chance we've had to put Flash and PDF together. Think about how much more dynamic the web became with Flash. Now you can include video and fully functional Flash applications in your PDFs. We've also made it easy to work with some of the just announced Acrobat.com features helping you work better with remote colleagues. And we've tuned up several of the major feature areas in Acrobat 8.

Here are answers to some general questions about the new release:

What does Flash do for me?

It changes the whole PDF experience. Big words, but it's true. Think about assembling documents for a new project proposal. With PDF Portfolios you can organize, brand, and customize the layout for a set of documents. Turn the PDF itself into a presentation of the material.

You can also embed video and audio directly into your PDF. Embed a video of you and your partners inside your corporate presentation. Capture field conditions with a video camcorder and send it around for comments inside a PDF. That's right, Adobe Reader 9 can now playback Flash and Video directly, so you don't have to worry whether everyone has the right software to see it. And, like in Acrobat 8, you can enable the file for review, which means you can point out specific conditions using the review and comment tools and allow others to also add comments with Adobe Reader 9. The comments are organized like other Acrobat markups and refer to the specific frame in the video where the comment was added.

Acrobat 9 Pro Extended also includes Adobe Presenter which makes it easy to add voiceovers to PowerPoint slides for creating self running safety and training lessons. You can add interactive quizzes and video and they run beautifully inside of a PDF.

How about Acrobat.com?

Acrobat.com is a set of new hosted services that make it easier for you to connect and share with business partners over the internet. It was just announced in beta and is available through a standard web browser whether or not your are an Acrobat user. Acrobat 9 makes it easy to access some of the services to enable shared reviews, distribute and collect form responses, and collaborate live inside of a PDF document.

That last one is especially interesting when you're trying to have a phone discussion about a 3D model. By enabling a PDF document for live collaboration, you're allowing others who receive your document to connect and watch as you navigate the model. When you rotate, pan, zoom, etc, they see what you're seeing. They can get connected with Adobe Reader 9 and don't even need their own Acrobat.com account, just your document. It's simpler and faster than web conferencing, because all participants have the document, they're just sharing page commands. It's difficult to describe, but compelling. It's one of the areas we've heard AEC participants in our pre-release program tell us is especially innovative.

What has been improved from Acrobat 8?

A lot. One of my favorites is that both Acrobat and Reader just launch faster. I'm also excited about the new support for conversion of IFC files to 3D PDFs. Now it's much easier to create and share intelligent 3D models complete with IFC object data regardless of which BIM application you or your design partners use.

Some of the other enhancement areas that are interesting to AEC customers are shared reviews, the PDFMaker for AutoCAD and forms. Of those, I'm most impressed with the enhancements to forms creation, distribution, and data collection. Now it's much easier for the project manager or project controls professional to enable common contract communication with PDF forms that can be filled in an submitted with Reader. New wizards make it easy to understand and the functionality has been made available throughout the Acrobat family.

If you're already an Acrobat fan or just thinking about looking closer, Acrobat 9 has a lot to offer.

Enjoy!!

Most of you who have seen my presentations have heard me make the claim that the Adobe product LiveCycle Rights Management, formerly known as LiveCycle Policy Server, is the future of security for the AEC industry. So what is LiveCycle Rights Management and how does is fit into your AEC workflow? LiveCycle Rights Management policy protects documents down to the document level. When you think about how you manage security today you are managing it at the application level. Most AEC companies have a Document Management application like Documentum, ProArc, etc. which protects the access point and what a user can or cannot do. Such as a user may have rights to a folder and they can view the document in that folder or even download. When a user downloads the document you now have lost full control of that document. LiveCycle Rights Management applies a policy to the document and you can maintain control even if the user has downloaded the document to their hard drive, burned it on a CD, put it on a thumb drive, etc.

It is a hard concept to grasp as first so you are probably asking how it works. LiveCycle Rights Management is an enterprise application. Meaning that you can either host it or you can subscribe to an ASP model. An administrator or end user sets up a policy and then any user can apply that policy to a particular set of documents. Once the policy has been applied it stays with the document for the life of the document. For example, let’s say that you send out an RFP or RFQ and it is due at 5 pm on Friday. You could setup a policy that expires that document at 5 pm on Friday and the user will no longer have access to it even if they have it burned on their hard drive. Also, another nice feature is that you can force revisions. If you issue Rev 1 and you need everyone to be working off Rev 2 you can revoke the access to Rev 1 and give them access to Rev 2. The user would open Rev 1 and it would tell them the document has expired and point them to the location of Rev 2. There is a whole host of capabilities in which I will describe in detail.

Typically when I talk about LiveCycle Rights Management, I am demonstrating Acrobat. The reason is because Adobe Acrobat gives you an access point to be able to setup policies on the LiveCycle Rights Management server as well as apply them to documents from within Acrobat. A very important point is that the technology does not just apply to pdf documents but supports other document types such as office documents and .dwg drawings in their native format.

I am going to take you through the administration and what the typical end user would see. First thing I am going to do is open up Acrobat and open the document that I want to apply the policy protection to.

Next I am going to select the Secure drop down at the top and then select to Manage Security Policies.

This will bring up the screen of all the security policies that I currently have access to. If I needed to apply the policy I could do so at this step.

I am going to take you through the steps if you needed to setup a policy to be applied to this document to highlight some of the capabilities of LiveCycle Rights Management. From the screen above I would select New to start the administration piece of the application.

From this screen I would select the “Use the Adobe LiveCycle Policy Server” option. Acrobat 8 has not been updated yet to reflect the new name of LiveCycle Rights Management. As indicated above I would click on next which would allow me to login to the LiveCycle Rights Management application.

The first step I would do is type the name of what I wanted to name the policy. In this case I am going to name it RFQ 2387. I can then setup either named users or anonymous users. This is important because if you setup a named user then it forces the user to login with their name and password. If you setup anonymous users then anyone can open the document. The reason this is important is a history or audit trail of all actions performed on a document can be tracked. If it is setup as named user then you can also revoke access or change access for each individual user. If you set it up as anonymous then it is an all or none type approach. In this case it is and RFQ that is going to expire at 5 pm on Friday and it will expire for everyone at that time so I am going to setup anonymous user.

Next I am going to scroll down the page and setup the Validity Period, Audit, and Offline lease period. In this case I am going to set the document to expire on a date and time. I could however setup a period of time or the number of days in which it is valid. Then I can choose whether to audit the document for an audit trail of actions taken on the document, and whether to give a lease for offline access. In anonymous user the audit trail will only show the actions taken on the document and will not show the user that performed the action. If you wanted the user name you would need to setup named users versus anonymous users. Also, you want to give an offline access period. People travel and are not always connected to the internet. The document has to communicate back with the server. In this case I am going to setup the offline access of 2 days.

Last, I can setup the type of encryption that I want, and the dynamic watermark, and whether only certified Acrobat plugins can be used. The dynamic watermark is a great feature. You can choose to have the user name of the user used as a watermark. This deters users from taking screen shots of the document. It would make them less likely to distribute the document to others if their user name was included on the document. In this case I am going to choose to use the “confidential” watermark to be applied to the document anytime it is opened, and then save the policy.

Once I save the policy, I can then go back to Adobe Acrobat and choose to Finish.

After clicking on Finish, you can see that the new policy is listed and available for me to be able to apply to this document. I simply select the policy and choose Apply to Document and save the file.

When I reopen the document you will see the lock in the top left of the document which indicates this document is secured and the watermark that has been applied to the document.

Next I am going to go back to the administration section of LiveCycle Rights Management and show you how you can audit the document as well as revoke or revision the document. The screen below shows the administration landing page.

I can then select the document option from the administration screen.

After selecting the document, I can then choose to view events, which will show me the audit trail of this document. Remember I set it up as anonymous user, so the individual users will not be shown.

Next I can go back to the main screen and choose either to revoke the document or to revision the document by taking away access to the original and pointing the user to the new version.

The next screen shows you how you can give it a reason, type a message to the user, and a url to point them to the new document.

Once I click on Ok the document it has been revoked and the user will no longer have access to the original but will be pointed to where the new document exists.

This highlights step by step both how a policy is setup and how it is applied to a document. Again, I think the future of security for the AEC industry is at the document level and not at the application level. Most end users would just simply be applying the policies to the documents and never see the administration. If you would like some more information you can visit the home page or contact your local sales rep.

Have Fun,

This meeting provided a forum in which we could come and freely speak our ideas, opinions, and concerns as it relates to delivering technology to support ISO 15926. We had support in the room from Onno Papp – Fluor (ADI Leadership), Robin Benjamins – Bechtel (IDS/ADI Facilitator) and Magne Valen-Sendstad – (POSC Caesar/IDS Leadership) as well as Ric Jackson, Nicole Testa and Ed Chase from Fiatech.

The major topic of discussions was compliance. Just the use of the word “compliance” caused several discussions, but essentially it means to what level you meet the requirements of ISO 15926. To give you an idea of where most of us are today, we are either not on the scale or have met the first criteria. This is primarily because we have not started to implement technology at this point, hence the meeting and the discussions. An interesting point was brought up during the technology vendor meeting of not only how compliant we were with the technology, but how compliant our customers were as well.

The second major topic of discussion was centered on how we are going to address the technology issues around ISO 15926 and work together. Several projects or expressions of interest were indentified during the meeting and we were able to come to an agreement on which companies were interested in each topic and therefore would possibly work together to address it.

It was long two days, but very much worth our time and investment. Real progress is being made towards this effort and solving many of the issues the industry faces. This meeting was followed by an EPC/OO meeting were they were able to identify their own projects and expression of interest. In talking with Ed Chase, he told me that the EPC/OO meeting was just as successful as the technology vendors. He was able to share some quotes that come from the meeting.

"I got it! I now really understand ISO 15926, and was even willing to place my name against several projects. In the past I was always asking myself 'How in the hell do I tell my people what ISO 15926 means?' Now I can tell them."

“I want data to be independent of applications, and now we have that vehicle. We have five different operating applications across the company and currently have a project to normalize/standardize them, and I can report back that ISO 15926 can help us do that."

"I'm still trying to convince many of my managers to stop being silozied and to start looking at horizontal work processes. These workshops will help me make that argument."

I started this entry as “we are in this together” and I think for one of the first times we have ever seen anything like this in the industry. If you would have told me when I started in this industry that one day technology vendors and EPC/OO would come together and work towards a common goal, I would have laughed. It will take all parties involved in all phases of the project to make this a huge success. Meetings and organizations like these are a positive step in the right direction.

More information and future events can be found at the Fiatech homepage.

The Fiatech Technology Conference delivered once again. For those of you who are not familiar with Fiatech or more importantly have not joined Fiatech need to engage. I attend and sit through countless presentations that identify the issues that the industry currently faces, but what continues to impress me about this organization is it is delivering solutions for its members and giving a direction to the technology companies as it relates to standards. The conference started with James Porter of DuPont not saying if they were going to implement ISO 15926 but how they were going to require it. This was a very strong statement, and really indicates how far and viable ISO 15926 standard has become in truly addressing Interoperability. Fiatech has delivered in many respects and now it is your opportunity to use and capitalize on it. Adobe was able to participate in an emerging technology panel that gave us an opportunity to present our vision and direction. For those of you who were unable to attend I would like to share some of this with you as well as give you some thoughts and opinions as it relates to the conference.

I think the first question we have to answer is why did Adobe join Fiatech? The reason we joined Fiatech was because of their commitment to process improvement and to standards. We felt that this closely aligned with our vision and our own commitment to open standards. In January 2007 we released the entire pdf specification (ISO 32000) for ISO approval and it was recently approved in January 2008 by a unanimous vote. This follows our PDF/A and PDF/X ISO standard, and we are expecting the publication of PDF/E later this spring. As a technology provider we feel that we have the platform and technology vision to become a crucial piece to the overall solution as it relates to interoperability. Last but not least, we wanted to give Fiatech’s membership base a face to Adobe, and the ability to engage with us.

The second question we have to address is how does Adobe address Interoperability? I think anyone who uses the term Interoperability should have to define it. At Adobe, we define the term Interoperability as the non-ability to connect People, Process and Systems. The way in which we begin to address interoperability is with what we call our engagement platform. Our engagement platform consists of the Free Adobe Reader, Flash Player and now Adobe AIR. With the Free Adobe Reader being installed on 89% of desktops, the Flash Player installed on 98% of desktops and our emerging technology Adobe AIR; it gives you your engagement platform with your customer, engineer, architect, contractor, whomever you choose to communicate with.

Most would agree that we have done a very good job in solving several of the document interoperability issues. The PDF file format is one of the de facto standard’s that is used widely within the industry today. The outstanding question though is what are we going to do about data interoperability? To address data interoperability you have to understand the PDF file format. A PDF document is truly an intelligent document. It has a presentation layer which most of you are familiar with. Then it has a business logic layer which includes things such as our forms, calculations, validations, and security. The last and probably most important layer, in starting to address data interoperability, is the transport layer. The PDF document is built upon an XML schema. Therefore you can transport data irrespective of the application.

To facilitate the document and data exchange described above we have an enterprise suite of applications called LiveCycle. When you think about Acrobat and many of features today, LiveCycle has the ability to automate several of those processes. More importantly it also has its own core set of product offerings such as Workflow and Digital Rights Management. Think about a process that we all face today and that is on boarding and off boarding employees. A new employee needs a phone, a computer, and email address, benefits, insurance, and the list goes on and on. Think about all the legacy applications you have today that support these processes. LiveCycle would give you the ability to connect all these applications together, but more importantly in a lot of cases give you a pdf or even a flash/flex front end. It is recognizable to the end user, but more importantly the data is pushed and pulled between the respective applications. On top of this other companies have the ability to license our technology and include it as part of their product offering. Companies like SAP, Documentum, and Bentley have licensed some of this technology and included it in their own applications. In summary for document and data interoperability, we have the platforms, transport mechanisms and enterprise applications to support it.

Now for the last and most dangerous question, how is Adobe going to support ISO 15926? The honest answer is I don’t know at this point, but this is again why we joined the Fiatech organization. Let me tell you my opinion though as it relates to ISO 15926 and we can even include BIM in this conversation. The success of these standards will come down to open standards which is where every company should focus as it relates to these initiatives. To better explain this, say that we developed technology to address a pain point related to a specific 3D CAD application. What happens when this CAD application releases a new version? If we focus on the standard though, the technology we develop should continue to provide a solution.

Okay, enough Adobe Kool-Aid for the moment. How about Aidan Chopra with Google showing up to the Fiatech conference and delivering a great presentation? For those of you who were not in attendance, Aidan’s presentation pre-conference was aptly titled Google, Google on the wall who is the most prepared of them all? By the time he delivered his presentation he had renamed it to “What the ?/%&$ (let’s assume the word heck) is Google doing here???”. For those of you who were not there, this was the last day of the conference at 8 am, and you also have to remember this was in New Orleans. So there were a lot of red eyes in the audience. I can honestly say that I have not laughed this hard during an industry presentation. He was very effective in tying the Sketchup, 3D Warehouse and Google Earth together in a very dynamic way and probably only in a way that Aidan could do.

I sat through the majority of presentations and I would have to say the content really flowed well. I can honestly say that I don’t feel like I was power pointed to death leaving the conference. Most of the presentations were discussions and most were targeted at the industry issues versus sales pitches. I think this is what makes the conference so successful. There are so many highlights that it would be impossible to cover each one in this blog entry. It was great to have the conference in New Orleans and to support their rebuilding efforts. As they would say, Laissez Les Bon Temps Roulez.

To end this entry or novel, I am going to leave you with two words: engage and execute. Continue to engage with the ISO 15926 effort and execute on what Fiatech has delivered. Again, we feel like we have the technology platform and the vision in place to be able to deliver solutions as it relates to these standards. We look forward to working with Fiatech and becoming an overall piece of the solution.

Have fun,

I am really excited about next week. We are going to kick off the week at the Fiatech Annual Technology Conference in New Orleans. This is the first year that Adobe has been a member of Fiatech and we are really excited about working with this industry organization and to be involved with many of the industry thought leaders. I will be participating in a panel moderated by Ric Jackson to discuss why we joined, where we see our technologies addressing interoperability and how our technology may be used as a solution in the future related to ISO 15926. I will be leaving New Orleans and traveling to Las Vegas for the ASPE BIM Seminar. I have not worked with the ASPE organization yet, so I am very excited about this opportunity as well. I will be doing a presentation on where we are now with AEC specific functionality, and where I see our future as it relates to Building Information Modeling.

A couple weeks ago my wife and I had the honor of visiting the Victory Junction Gang Camp and making an Adobe software donation. The Victory Junction Gang Camp was founded by Kyle and Pattie Petty, in honor of their son Adam, to provide life changing camping experiences to kids with chronic medical conditions or serious illness. The VJGC is a non-profit organization and relies on the generous donations of individuals and organizations. The have a full 24 hr production studio on-site that captures photos and videos of the campers and their experiences all through the week and then provides them to the campers and the parents as they depart. I would like to share our experience and our tour with Pronto, the camp director, as the camp is truly an engineering feat in itself.

Adobe is a very giving company and strongly encourages philanthropy and community involvement from its employees each year. Each year an Adobe employee can purchase a limited number of software licenses and my wife and I typically donate them to charitable organizations. When I contacted Abby the In-kind coordinator she asked us if we would like to visit some time. My wife and I jumped at the opportunity, traded in some miles for plane tickets, and we were off to North Carolina to visit the camp and it is a trip we will not soon forget.

As we arrived at the entrance and we waited at the camp entrance to meet with our host, we chatted with the lady managing the gift shop. She asked who we were there to meet and we informed her that we were there to meet with Pronto the camp director. Then she informed us that we were in for a treat and that Pronto does not lack any energy. From the moment you first meet Pronto you are almost consumed with his energy and he quickly brings a smile to your face. Each weekend or week they host a certain type of medical condition and our weekend that we visited it was Neurology week. My wife works in Neurology and we almost immediately asked about Neurology week and he immediately corrected us and raised his voice said “it is not Neurology week it is Mardi Gras weekend and the theme is Hey Mister, Throw Me Some Beads!” while he was just grinning from ear to ear. He said what is important is from the moment the campers check in that they try and separate them from all the worries and their medical conditions that they deal with on a daily basis. Pronto said if a normal child visited a camp they would not be labeled and neither would their campers. We loaded up in the golf cart and away we went.

The camp is based on a Nascar theme as the Petty’s are a Nascar family. For each activity that a camper can enjoy, the activity has been engineered so that every kid can participate not matter their physical limitations. As we entered the camp you drive down through a tunnel which is similar to most Nascar track as you enter the infield. When you come out of the tunnel the camp is in full view. The first building you notice right away is the building that is in the shape of a car. It is an architectural feat in itself. Pronto explained to us that Pattie had envisioned this building long before pencil was put to the paper. As she began to describe it to architects, several responses came back as it could not be done. Pronto told us that the one thing you don’t want to tell a Petty is that it can’t be done. Hence as you can see in the picture of my wife and me below is that the building was in fact was built as she first envisioned.

What truly inspired me about the entire camp is that for every activity a camper can enjoy it is engineered to accommodate every camper. Take the pool for example. A camper that is in a wheel chair can be accommodated in a plastic wheel chair where they can roll themselves into the pool and achieve buoyancy. Also for campers that have trouble maintaining their body temperature, they built a room right off the pool so that the camper can quickly bring their body temperature back up and rejoin the activities. The same consideration was taken for each facility. The movie theatre had a large open area in the middle with no seats. When you think about the movie theatres we go to today we see the accessibility off to one side or the other. At Victory Junction Gang Camp it is front and center so that everyone can have the same experience. The onsite clinic is called the body shop. As with everything else it is first class. Almost every procedure that a camper would need they are able to accommodate on-site. What is unique about the body shop is it looks exactly like every other facility on campus. Even the rooms in the clinic are the exact same as where the campers stay during the week, down to the colors. This way if a camper has to stay in the clinic, they have the same experience they would in their own room. They leave no stone unturned when it comes to accessibility for the campers as each camper can have the same experience as others.

In the end the Victory Junction Gang Camp was thanking us extensively for the software donation. Really though we should be thanking them for all that they do and the experience they give each individual camper. The hard truth is that the photography and video that occurs during the week may be capturing very special moments that the kids may never experience again. All we can do is make sure they have the best software available to produce whatever they wish. As we left the camp we were grinning from ear to ear, and I just could not quit thinking about all the architecture and engineering that was put into the camp to give each camper an unbelievable experience. It was an experience that we will soon not forget.

The question was when I go to open a pdf file it opens in the Free Adobe Reader by default instead of Acrobat. They were working with older versions and depending on the order in which you originally installed the applications it would change the default. In Acrobat 8 and the Adobe Reader 8 it does prompt you and ask you which application do you want to be your default viewer for pdf files. If you have this issue here are the steps to be able easily change it back.

After the Folder Options screen opens you want to click on the File Types tab. Scroll down until you see PDF and then click on "Change" and change the option from the Adobe Reader to Adobe Acrobat.

You will know that you are successful if the "Opens with:" shows Adobe Acrobat versus the Adobe Reader.

It took me awhile initially to think of where to change the setting so I hope this helps. This was a very large customer, so I know if they have the question others might to.

By the time we visited with Texas State, they not only understood the value, they were already using it in their curriculum. The longer the meeting went the more fascinated I became with their program. The course that they are providing to their undergraduates is centered around BIM (Building Information Modeling). It is a junior/senior level interdisciplinary course that is built on a design-build premise whereby the students design, model and cost commercial projects. The best part is that these are Real Projects for Real Customers. They are given the responsibilities of managing the client, budget, schedule and constraints that you would normally face on a project. BIM is an integral part of the approach in that it supports not only the design-build model but interdisciplinary teamwork as well. In meeting and talking with Chris Tinsel he was able to share some of the positive outcomes they experienced from the program as a whole:

- Created a new delivery system whereby an owner or developer (client) work with our university program for fundamental programming/schematic design.

- A "Living Laboratory" that allows our program to work directly with industry to create "bridging documents" (those documents that non-licensed designers might create).

- Course work infused with ongoing research in BIM, design-build project management, and construction/digital fabrication methods.

I have thoroughly enjoyed meeting with Chris and team surrounding these efforts. I can not tell you how impressed I am with not only the course but the efforts made to improve the industry and further drive the BIM initiatives. In my previous post I talked about some of the ISO 15926 presentations and how we often the focus on the technology versus the process. I think this is a good example whereby they are focused on the process and using the technology to execute. The level of experience these students will have coming out into the workforce should make them a very strong candidate with potential employers. Most firms are struggling to even get started with BIM, and these students will have already completed a BIM project.

As for Acrobat 3D, it is being used just as I had described above. It gives the students, colleagues, professors and clients an easy way to be able to exchange the project information and model in the form of a pdf document. They can share and collaborate on it with anyone who has the FREE Adobe Reader that is already installed on 89% of PC's.

If you are at Texas State University or considering your college options, this is definitely a course to consider.

Have fun,
