Progressive and Other Financial Services Companies Innovate with E-signatures

Insurance and financial services companies face a number of challenges in today’s fast-paced digital workplace – from rising operational costs, to customers demanding faster turnaround times – these businesses are working hard to identify solutions, as well as opportunities for growth, in a period of transformation.

By taking advantage of digital technology, especially electronic signature solutions, across entire processes, insurance and financial services companies can tackle some of the most predominant challenges that they are facing today.

Adobe will now offer Adobe EchoSign + PDF Pack to Progressive’s more than 35,000 agencies in the US to help them tackle their biggest business challenges, while combining the reliability of Adobe PDF with e-signatures, so agents can close business faster, more easily and securely. It will initially be made available to agencies in Missouri and Illinois and roll out nationwide later this year.

With Adobe EchoSign, the entire process of getting to a signed agreement is easy. Single or multiple documents can be packaged and sent for signature, removing the hassle of using paper and multiple email attachments.  Once the agreement is signed, it’s simple to track, manage and store them securely in Adobe EchoSign and send copies back to all parties.

With Adobe PDF Pack, paper or electronic agreements can be easily converted to secure, reliable Adobe PDF files that can be easily sent for signature via Adobe EchoSign.  It can also be used to create PDF documents to share with clients such as letters, brochures, and policy change notifications, to ensure they see exactly what they should see.

Progressive joins other similar services institutions in taking advantage of the benefits of Adobe EchoSign. Take NEC Financial Services and Card Assets as two such examples. Both financial services companies needed to improve efficiencies and cut costs in order to better serve their customers, and decided that the best way to do so was to transition their multi-step, manual application workflow to a more streamlined, automated one by implementing Adobe EchoSign e-signatures.

With EchoSign, NEC Financial Services and Card Assets achieved the following results:

Adobe on Adobe: How EchoSign reduced our procurement contract completion cycle by 73%

As companies continue to evolve and look for ways to conduct business more efficiently, many procurement heads, business managers and finance departments are looking for ways to speed up document approvals, digitize processes that work for a multitude of vendors and ultimately reduce the lag time (and headaches) that are attached to paper. Our own Procurement team put EchoSign to the test to see how the adoption of e‐signatures and digital document workflows could actually help Adobe streamline processes and keep business moving with our global partners and customers.

Let’s Talk Numbers

Adobe Procurement works with a contract average of almost 1,500 contracts/quarter. The majority of those are in North America, but some also support international offices. Additionally, 85% of the non-revenue generating contracts within the overall company are handled by Adobe Procurement. Adobe had a contract management system in place, but parts of the process were still manual and paper-based, specifically the old “requirement” for a wet signature process for executing contracts. We weren’t alone, in fact, this situation is a very common one. A 2013 survey found that 98% of US companies still use paper in their contracting process. This is in spite of the fact that two‐thirds of respondents agree that paper is less secure and 70% of those surveyed agree that there are material efficiency gains.

At Adobe, this has all changed for the better. Our Procurement team removed the roadblocks slowing down business and as a result became more agile and responsive to the business overall. Contract completion cycle was reduced by 73%: going from 2‐3 weeks to 1‐2 days. Currently, 79% of contracts are completed in 7 days or less. Additionally, there was a 70% increase in contract completion and the Procurement department’s paper and supplies costs were cut down by 80%.

IRS Approves Electronic Signature for Key Payroll Form

Based on Publication 1474 published by the IRS on January 4, 2014, it is now legal for any Intuit® payroll customer to sign Form 8655 electronically, thereby eliminating the need to print the form, sign using a pen and then fax back to Intuit.

Publication 1474 allows any reporting agent collecting Form 8655 to do so using electronic signature. The decision to allow the electronic signature was based on the IRS’ experience in working with Intuit and several other payroll providers on individual electronic signature pilot tests. Electronic signature is an easy-to-use functionality which simplifies the process of getting a document signed by guiding the user through a step-by-step process of completing and signing the document. The electronic signatures process is provided in partnership with Adobe EchoSign .

“This was a very long journey for Intuit that began more than four years ago when we first experimented with electronic signature for Intuit Assisted Payroll,” said Matt Gotchy, senior product manager for Intuit Full Service Payroll. “Today, I am ecstatic to report that we now have an electronic signature success rate of 91% – our highest rate ever. In Full Service Payroll, we’ve found that customers who electronically sign their legal documents reach first billing 28% more often.”

“We are very excited to see our collaboration with Intuit for enabling electronic signatures for Reporting Agent Forms achieving a significant milestone and getting approved by the IRS,” said Mangesh Bhandarkar, Director of Product Management for Adobe EchoSign. “Through the simplicity of the EchoSign electronic signature process and working closely with Intuit to streamline the user experience we were able to reduce errors, attain high completion rates and therefore achieve Intuit’s goals for implementing an e-signature solution. Maintaining client relationships and the environment at Ricoh UK

Ricoh, which specializes in document solutions of its own, knows an outstanding solution when it sees one. That’s why the company uses Adobe EchoSign to streamline its contracting process. By using automated electronic signatures from Adobe EchoSign, Ricoh has been able to cut five days from its contract turnaround time.

“Adobe EchoSign provides us with an innovative, new option for e-signing to reach customers by removing physical barriers that might inhibit business,” said Ray Young, business development manager at Ricoh UK.

Enabling Friction Free Business – Adobe’s eSignature Roadmap

At Adobe, we’ve been innovating on digital documents for decades. Today, we deliver the most comprehensive eSigning portfolio, from digital signatures in Adobe Acrobat toAdobe EchoSign.

  • 50 million agreements have been signed on the EchoSign platform, which is now accelerating at a rate of more than 3 million agreements per month.
  • Organizations using EchoSign include more than 100 banks as well as companies like Citrix, Foursquare, Groupon, KIA Motors, Marketo, Netapp, Ricoh, Time Warner Cable, TiVo, and more.
  • More than 1.8 million customers are using Adobe Acrobat digital signatures across the Federal government, healthcare and pharmaceuticals, financial services, and more.
  • 30 million users are signing their personal documents with Adobe Reader, which is deployed across 800 million PCs and 300 million mobile devices worldwide.

EchoSign-InfobiteBut there’s still a great deal of work to do.  According to our research, less than 10 percent of all contracts in North America are signed electronically. This means important documents are being printed and signed the old fashioned way, which slows business down, creates risk and can be error prone. Whether it’s a sales contract being sent from Salesforce.com, or a new employee onboarding document that’s part of a Taleo workflow, we don’t think companies should be printing, faxing, or “over-nighting” these critical documents. That’s where eSignatures can have a huge impact.

LOOKING FORWARD

To help our customers and partners plan their eSignature implementation initiatives, we are revealing our top-level roadmap for friction-free business with a new digital document platform. In the next 30 days, we’ll deliver two key updates:  EchoSign for Salesforce v14, as well as a major new EchoSign winter release. We’ll provide more detail here in the next few weeks, so stay tuned.  More broadly, we are delighted to share how we will innovate over the next 6 to 12 months across three key areas: advancing security, ease of use, and expanding our cloud capabilities.

SECURITY & IDENTITY

Digital Signature Support. In June 2012, EchoSign became the first solution provider to digitally sign and cryptographically seal documents signed through the EchoSign service. The digital seal provides persistent evidence of the authenticity of the signed document, and provides visual tamper evidence when viewed in Acrobat or Reader. We’re seeing increased adoption of Public Key Infrastructure (PKI) smartcards or tokens across government, healthcare, pharmaceutical, finance, and more – smartcards that can be used for digitally signing documents. So I’m delighted to announce that Adobe will introduce first class support for digital signatures in the EchoSign service, leveraging Acrobat and Reader. This means that Adobe EchoSign will be the only cloud-based service platform that delivers both digital signatures and electronic signatures, meeting global regulatory compliance and high-security requirements where digital signatures are needed.

Digital Rights Management. Documents transacted through the EchoSign platform frequently contain sensitive and confidential information – be it Personally Identifiable Information (PII), Personal Health Information (PHI), pricing and deal terms, or salary information. The information contained in these documents must be secured throughout its lifespan to ensure that it does not get into the wrong hands. So today we are taking the document security offered by the EchoSign platform to a new frontier: we are announcing digital rights protection for all your PDF documents that are signed using EchoSign. With this new protection, your organization will be able to control access to your critical business documents after the documents have been signed, no matter where they are stored. We are able to deliver this capability thanks to the wide-spread adoption of Adobe Reader, which is used on more than 800 million devices worldwide. This new capability will let companies control and audit access to PDF documents already sent or downloaded, enable advanced watermarking, digitally “shred” expired documents, and more.

USER EXPERIENCE

EchoSign is the industry leader on ease of use. For example, EchoSign is 30 percent more efficient than the leading competitor. EchoSign has a net promoter score of 57, whereas the next-best leading competitor has a score of 53. (Source: Independent research across more than 290 active eSignature users, commission by Adobe, Sept. 2013).   And, Adobe EchoSign is the No. 1 rated eSignature solution by community users on the Salesforce.com AppExchange:

We are taking this to the next level with a deep bet on mobile and HTML5 experiences. Starting with the 6.7 release next month, we’re introducing a next-generation signing experience that is even easier to use. The UI will also feature new send and forms-authoring tools that support drag‐and-drop file upload, field templates, workflow templates, and redesigned document management and administrative pages. We’re also making forms more adaptable. With EchoSign, you’ll be able to create reusable form templates that include field definitions, locations and field properties that can be applied to any document. And, you’ll be able to make form field templates to place EchoSign signature fields on the document, as well as ensure the correct number of signers is applied to the document.

We’re also pushing the boundaries on mobile support. EchoSign is the only signature service to offer a widely deployed offline-signing solution for iOS. Based on customer feedback, we will be extending this unique capability to the Android platform as well as the PC and Mac OS environments through Adobe Reader.  So if you’re just signing a school permission slip or getting a multi-million dollar deal signed from your mobile device, EchoSign will continue to be the easiest solution out there.

NEXT-GENERATION CLOUD PLATFORM

Adobe EchoSign is deployed across multiple datacenters with full support for Disaster Recovery, PCI and HIPAA compliance, all housed in SSAE 16 Type 2 certified datacenters. We provide a uniquely global solution, supporting signers in more than 180 countries around the world. Today, we are announcing plans to deliver local datacenter support in both Europe and Australia in 2014, as well as our intention to enter Adobe EchoSign into the U.S. government’s FedRAMP certification program. Respectively, these are critical for organizations that require data sovereignty as well as the highest levels of cloud certification.  The majority of our customers are integrating EchoSign with existing business applications: Apttus, Box, eOriginal, Evernote, Salesforce.com, Microsoft Dynamics CRM and Office 365, NetSuite, Oracle, SAP, Xactly and more. EchoSign’s Sign Anywhere video is the first part of a new campaign designed to show you how easily you can sign documents anywhere, like in Northern Maine or while visiting Spain. Adobe EchoSign Integration with Salesforce Identity

Today Salesforce announced the launch of Salesforce Identity which delivers proven, enterprise-class identity services at consumer scale — enabling CIOs to enable single sign-on across Adobe EchoSign, Salesforce and other Web, mobile and on-premise enterprise apps – centrally managed through the Salesforce Platform.

“We are excited to be certified for integration with Salesforce Identity. This will be of benefit to Salesforce customers who want to easily and seamlessly access Adobe EchoSign to send documents for signature, track, and manage contracts,” said Mangesh Bhandarkar, director of product management, Adobe EchoSign.

The Process Behind Health Practice Perfection

CareCloud helps medical practices improve their workflows with innovative cloud-based digital apps. To improve its internal sales workflows, CareCloud turned to Adobe EchoSign and Salesforce.

Mobile-enabled contract management helps the company’s sales force process an average of 270 agreements each month with automated routing and e-Signatures. By integrating EchoSign with Salesforce and Conga, CareCloud can easily take advantage of features such as logic rules – which prevent errors that delay customers’ contracts – and customizable workflows, further simplifying the online signature and contracting process.
