Adobe on Adobe: How EchoSign reduced our procurement contract completion cycle by 73%

As companies continue to evolve and look for ways to conduct business more efficiently, many procurement heads, business managers and finance departments are looking for ways to speed up document approvals, digitize processes that work for a multitude of vendors and ultimately reduce the lag time (and headaches) that are attached to paper. Our own Procurement team put EchoSign to the test to see how the adoption of e‐signatures and digital document workflows could actually help Adobe streamline processes and keep business moving with our global partners and customers.

Let’s Talk Numbers

Adobe Procurement works with a contract average of almost 1,500 contracts/quarter. The majority of those are in North America, but some also support international offices. Additionally, 85% of the non-revenue generating contracts within the overall company are handled by Adobe Procurement. Adobe had a contract management system in place, but parts of the process were still manual and paper-based, specifically the old “requirement” for a wet signature process for executing contracts. We weren’t alone, in fact, this situation is a very common one. A 2013 survey found that 98% of US companies still use paper in their contracting process. This is in spite of the fact that two‐thirds of respondents agree that paper is less secure and 70% of those surveyed agree that there are material efficiency gains.

At Adobe, this has all changed for the better. Our Procurement team removed the roadblocks slowing down business and as a result became more agile and responsive to the business overall. Contract completion cycle was reduced by 73%: going from 2‐3 weeks to 1‐2 days. Currently, 79% of contracts are completed in 7 days or less. Additionally, there was a 70% increase in contract completion and the Procurement department’s paper and supplies costs were cut down by 80%.

Enabling faster contract completion

A leading producer of travel media and events, Northstar Travel Media wanted to implement technology that could edited northstar logoimprove sales productivity and customer service by eliminating manual and duplicated processes. Using Adobe EchoSign with Salesforce.com helped the company reduce administrative work by 40 hours per month, as well as speeding up the contracting cycle.

“Since implementing Adobe EchoSign, 70% of media purchase contracts are returned within one day, and of those, one-third are returned in less than an hour,” says Cynthia Wittig, technical product specialist at Northstar Travel Media.

IRS Approves Electronic Signature for Key Payroll Form

Based on Publication 1474 published by the IRS on January 4, 2014, it is now legal for any Intuit® payroll customer to sign Form 8655 electronically, thereby eliminating the need to print the form, sign using a pen and then fax back to Intuit.

Publication 1474 allows any reporting agent collecting Form 8655 to do so using electronic signature. The decision to allow the electronic signature was based on the IRS’ experience in working with Intuit and several other payroll providers on individual electronic signature pilot tests. Electronic signature is an easy-to-use functionality which simplifies the process of getting a document signed by guiding the user through a step-by-step process of completing and signing the document. The electronic signatures process is provided in partnership with Adobe EchoSign .

“This was a very long journey for Intuit that began more than four years ago when we first experimented with electronic signature for Intuit Assisted Payroll,” said Matt Gotchy, senior product manager for Intuit Full Service Payroll. “Today, I am ecstatic to report that we now have an electronic signature success rate of 91% – our highest rate ever. In Full Service Payroll, we’ve found that customers who electronically sign their legal documents reach first billing 28% more often.”

“We are very excited to see our collaboration with Intuit for enabling electronic signatures for Reporting Agent Forms achieving a significant milestone and getting approved by the IRS,” said Mangesh Bhandarkar, Director of Product Management for Adobe EchoSign. “Through the simplicity of the EchoSign electronic signature process and working closely with Intuit to streamline the user experience we were able to reduce errors, attain high completion rates and therefore achieve Intuit’s goals for implementing an e-signature solution. We look forward to continue working closely with Intuit as they expand their use of EchoSign from the pilot phase into production.”

COA agreements are returned 33% faster with electronic signatures

The Council on Accreditation (COA) independently certifies that international child-and-family and behavioral health service organizations meet standards of excellence. To improve its own operational standards, COA has implemented Adobe EchoSign and achieved tremendous results.

“Adobe EchoSign improved our efficiency so that agreements are processed and returned 33% faster than the required 30-day turnaround,” says Tim Stockert, director of IT. “Not only are we accrediting organizations faster, but we’re growing the number of accreditation decisions we make every year.”

The completion before the destruction

Before Shred-it can help organizations destroy their unwanted documents, it needs to get customers to sign sales documents first. Using Adobe EchoSign, the telesales team at Shred-it can send an agreement, review with the customer and e-sign during a single telephone call.

Adobe EchoSign dramatically improves tracking and contract management at Shred-it. By using electronic document signing, contracts that used to take four days to complete now take eight minutes.

“Capitalizing on the high initial interest from customers, our telesales team closes 93% of agreements through Adobe EchoSign, in comparison to only a 65% conversion rate before EchoSign,” said Emma Lamb, Shred-it telesales manager.

Maintaining client relationships and the environment at Ricoh UK

Ricoh, which specializes in document solutions of its own, knows an outstanding solution when it sees one. That’s why the company uses Adobe EchoSign to streamline its contracting process. By using automated electronic signatures from Adobe EchoSign, Ricoh has been able to cut five days from its contract turnaround time.

Day three and four at Dreamforce totally rocked for the Adobe EchoSign team and partners! We knocked out two great sessions, an awesome party with partners and a new deal signed right at the booth – lots of activity around friction-free business and esignatures! Plus, all of our social efforts within the #DF13 community proved to be successful as #EchoSign was highlighted on the #DF13 social command center as 1 of top 5 most influential at #DF13 today (Friday!)

Friction-Free Business Panel 

Wednesday morning kicked off with an early panel session lead by Adobe EchoSign VP Jon Perera. Jon, along with a team of industry influencer panelists, discussed how EchoSign has helped them to close deals and conduct friction-free business across several different company departments. From legal teams, to HR departments to a company’s sales team the benefits of EchoSign are obvious for the panelists who represented Groupon, Conway, Inc., Electronic Arts and others.

According to panelists, the three key areas in digital document management are ease of use, security and platform. “EchoSign actualizes Bill Gates’ dream of business at the speed of thought,” quipped panelist Marvin Clark, who went on to say his business saved about 4 million sheets of paper in the first year of use. Now that’s what we call going green!

Other panelists commented on how EchoSign was a driving force for empowering their sales teams with the ability to better track and follow up on contracts they send out. The digitalization of the HR and legal process was also a key benefit of EchoSign to many panelists’ companies, panelist Yuka Tzavaras said it has helped give her company a competitive edge when recruiting new employees as it helps to establish a company’s reputation as a leader in the industry.

Noted Author and Speaker Geoffrey Moore Discusses the Future of Enterprise IT

We were lucky enough to sponsor a discussion session lead by Geoffrey Moore, author of several high-tech, dynamic industry leading books such as Crossing the Chasm and highly-anticipated Escape Velocity due out at the start of 2014. During the session, he shared his take on businesses moving from digital consumption to digital engagement and how a competitive edge can be retained.

Moore pointed out that the focus of the 20th century was reducing cost, however the focus of the 21st century will be to reduce time. He dubbed this the era of “Systems of Engagement” as opposed to “Systems of Record” saying that the new must-haves for system design are: mobile first, no more stupid stuff, fully compliant and completely secure and full integration with the past systems of record. Electronic signatures perfectly fit into these new rules of digital engagement. Since people are rarely ever in the office e-signatures helps to satisfy the rule of ‘user first, mobile first.’ In addition, Moore points out that “signing on paper exemplifies ‘stupid stuff.” Finally, with the added security, legality and extensive tracking and filing features of EchoSign, the e-signature tool perfectly fits into the new rules of digital engagement.

REVOLUTION After-hours party with Financial Force, Click Software and Totango

After an action-packed day three at Dreamforce the EchoSign team let loose at the REVOLUTION party. The party was sponsored by EchoSign, FinancialForce.com, Click Software and Totango and drew quite a crowd. The party kicked off at about 7:30 PM last night and carried on to the early hours of the morning with tons of networking, good drinks and unwind time. From the “EchoSign lime” themed drink to the ambiance-setting decorations, the party was a hit and our team was glad to be involved!

#Signanywhere is Everywhere: Adobe EchoSign #DF13 recap – day 2

Another busy day at the booth for Adobe EchoSign. Word of free premium coffee spread on the DF14 floor, keeping our talented baristas serving up hot joe all day. We estimate more than 1500 cups have been served to date.  Keeping people energized in and around our booth has been fun and thanks to a Bono sighting  in mid-afternoon (Yes! Bono!), it has also been star-studded. Our booth team never stopped giving personal, one-on-one demos all day long – lots of great questions while forging new relationships with prospects and customers.

In a collaborative session on Tuesday, a packed house of more than 200 customers participated in a hands-on tutorial on how to set up single sign-on SAML using Salesforce credentials to access EchoSign. EchoSign was  selected to be a part of this solution-oriented session on Salesforce1 due to our reputation for being responsive and engaged with the needs of the Salesforce customer – we couldn’t agree more!

During our second day, it became very obvious that our “Sign Anywhere” campaign was gaining momentum. Whether in the booth, hopping a cab, enjoying a pedi-cab ride in the rain, interacting with our “Me Agreement” Sign Anywhere Contract experience on Facebook, cashing in on the 30% off promo for EchoSign, registering for our friction-free panel and Geoffrey Moore session on Wednesday or living it up at Adobe EchoSign sponsored Dia De Los Muertos Happy Hour with Apttus or the #SpringIt VIP party with SpringCM, as the #1 e-signature solution on the Salesforce AppExchange, we are making business easier and the show a lot more fun and friction-free for attendees!
