Hold the phone! Recent study shows familiar collaboration tools still widely used

What is the number one technology in use today for collaboration by employees in companies across the United States and Europe? According to a recently published study by Forrester Consulting, it is the telephone*. A close joint second are face-to-face meetings and email. Hang on! What about things like wikis and blogs? Sorry, Web 2.0 fans: their usage for collaboration within the enterprise is still relatively low, but will grow.

Acrobat and PDF Central Conference Is Almost Here

In case you had not heard yet, the Acrobat and PDF Central Conference 2009 in Minneapolis, MN is less than a month away. It will be one of those unique opportunities to learn much more - at one time and place - about what you can do with PDF and Acrobat to help you in your work.

If you are planning on being there, please do introduce yourself to me and the real PDF wizards who will be speaking, including Ted Padova, Duff Johnson, Lisa Croft, Thom Parker, Angie Okamoto, Bob Connolly, Keith Gilbert and others.

I will be leading sessions on Extending Features in Adobe Reader, Acrobat.com, Digital Signatures and Commenting and Reviewing Best Practices. But of course, there are lots of other topics to choose from

This is the third time I will be a speaker at the conference. Many of those who attended in the past have commented to me "I had no idea Acrobat could do so much" or "I needed to solve that problem recently, and did not realize Acrobat could have helped me". It's pretty cool to hear that from the perspective of someone who has been using and involved with Acrobat since 1996.

Say "Hi!" to Acrobat.com Tables and Premium Services

Last month Adobe launched a free beta of Acrobat.com Presentations. The family is continuing to grow with the very exciting addition of Acrobat.com Tables and new Premium subscription services. Congratulations to the Acrobat.com team!

Firstly, Acrobat.com Tables extends the brilliant collaborative authoring environment of Buzzword and Presentations to spreadsheets and tables. Rather than me giving you the lowdown on it's capabilities for working together as a team in realtime, check out the crash course on the labs site or the Acrobat.com blog.

The other big news is that Premium service subscriptions are now available. There are services that continue to be freely available, but for a monthly or yearly fee, you can now access additional capabilities such as larger online meetings with ConnectNow, unlimited online PDF creation, larger file sharing and 1-to-1 support. As a thank you to the 5 million people who signed up for the beta, the Acrobat.com team are offering a US$50 discount on annual subscriptions. How very generous of them!

Say "Hi!" to Acrobat.com Presentations

As you know Adobe Acrobat is a family. And so is Acrobat.com, with a new addition called Acrobat.com Presentations. This has just been launched as a free beta on Adobe Labs, and all you need to get started using it is an Adobe ID, a web browser and the Adobe Flash Player.

Acrobat.com Presentations allows you to create some fantastic looking presentations online quickly and easily. So what's the big deal about that? Well, you can do this is in a collaborative way with others at the same time. Just as you can share documents authored in Buzzword, or files using Acrobat.com Share, you can share an online presentation with others, and let them be either a viewer or, better yet, a co-author. Giving those individuals that you need to work with the ability to author a document at the same time as you can help to make the presentation the best that it can be.

If you then want to give others the ability to review the presentation but not have access to it online, you have the option to export and download the presentation as a PDF file, then use Acrobat 8 and 9's Shared Reviews functionality to allow them to add and submit comments and markup.

A Short Update on the World of Adobe Acrobat

Wow, is it really the middle of May already? What happened to the time? I am sorry for not getting the opportunity to post anything over the last few weeks. What with spring vacations with the family, taking advantage of any nice day there is to get the garden in shape, the excitement over the new Star Trek movie, and lots of Acrobat-related projects that I have been working on, it has been hard to pay attention to you all. So please do accept my apologies.

While I was working on those other things, there have been some interesting developments in Acrobat-land:

  • The Adobe Acrobat and Adobe Reader 9.1.1, 8.1.5 and 7.1.2 updates were released last week to address security vulnerabilities. If you have not done so already, it would be well worth subscribing to the Adobe Product Security Incident Response Team (PSIRT) and Adobe Secure Software Engineering Team (ASSET) blogs to stay up-to-date.
  • Acrobat won a 2009 CODiE Award! The SIIA gave Acrobat 9 Pro Extended the award for Best Multi-Media Solution. What an honor! Our friends on the Acrobat.com, Creative Suite 4, LiveCycle and Captivate teams also won CODiE's. How cool is that?
  • Amazon released the larger format Kindle DX. There is plenty of coverage of the eBook reading device already, and I do not have one (yet) to provide any comments, but the interesting news from Adobe's perspective is that Amazon (amongst others) is using the Adobe Reader Mobile SDK for built-in PDF viewing. Bill McCoy, who heads up Adobe's ePublishing Business wrote an article on this.
  • Layers Magazine published their Fourth Annual Layers 100 Wicked Tips for all Adobe Creative Suite 4 applications. Lori DeFurio and I contributed 10 short tips on Acrobat 9 Pro for you to check out: they are about 1/3 of the way down (I wish the site authors had placed anchors, oh well). The other product tips are pretty good too.
  • Speaking of Lori, her new show on Adobe TV called "Lori's Corner" was launched last week. Her first show has been posted, with her first very special guest: ME! Check it out, and let Lori (or me) know what you think. All I will say for now is, yes, we had considered wearing smoking jackets and holding brandy glasses, but Adobe legal would not allow it (just kidding). Enjoy!

Review and Commenting eSeminar Recording Posted

Last Wednesday, March 4, I had the pleasure of giving a one hour eSeminar on Review and Commenting with Acrobat 9. The recording of that eSeminar is now available for you to view at any time.

Adobe Reader and Acrobat 9.1 Update Available

Get it now while it's hot! In addition to an all important security update, there are a number of fixes in the just released Acrobat and Adobe Reader 9.1 update. Lori DeFurio has listed some of the main ones on her Acrobat blog, and you can read about all of them in the release notes.

Customer Spotlights: Document Reviews Using Acrobat

Does anyone here need to save some cash to pay off that moped you decided to buy in the middle of winter? How about a few extra hours a week to improve your Guitar Hero® record? Cocomo on Adobe Labs: Building Real-Time Social Applications

At Adobe MAX 2008 in San Francisco, Adobe announced the availability of the Cocomo PaaS (Platform as a Service) as an Adobe Labs project. This allows Flex developers to incorporate rich real-time social networking capabilities in to their own Rich Internet and AIR applications. And it's been used already: in Acrobat and Reader 9 with their Page View Sharing capability.

Shared Reviews: Up In The Cloud

Shared Reviews introduced in Acrobat 8 are invaluable for those who need to get feedback on documents from others that are not part of their company or organization. As the document is enabled for commenting in the free Adobe Reader, you won't have to take out a second mortgage to buy everyone you need to work with a copy of Acrobat 8, just for the purposes of the review of a single document.

However, if you were working with external reviewers in a Shared Review in Acrobat 8, a WebDAV server was typically required as the repository for collecting those comments from others (the other option is to use a Network Folder, but those aren't typically made available outside the firewall). For many small business or workgroups, setting up a WebDAV server may not be a viable option - you have a day job to worry about, or the servers are looked after by others in a different location.

Well, Acrobat 9 addresses that particular problem, especially for those who don't have an IT resource that is just a phone call or stones throw away: Acrobat 9 can now use Acrobat.com servers as the repository to collect comments for Shared Reviews.

To use it in Acrobat 9 is straightforward. Just initiate a Shared Review as you normally would from the Comments taskbar button or menu, but in the Send for Shared Review wizard choose "...with Acrobat.com" as the location to collect comments from reviewers.

Once you've signed in with your free Adobe ID, you can just tell Acrobat 9 who you want to invite, what the deadline for the review is, and Acrobat 9 takes care of uploading the PDF document securely to your Share library on Acrobat.com for others to access. Your reviewers will get a link to download the document via an email from Acrobat.com.

From then on it works just like any other Shared Review. But there is one additional benefit...because you are using Acrobat.com, you can also turn on Page View Sharing (aka Send and Collaborate Live). Now you can also see who else is reviewing the document whilst seeing the comments they add, as well as the view of the page. Rad!

It's important to note that using Acrobat.com for Shared Reviews only works with Acrobat 9. If you have initiated the Shared Review with Acrobat.com from Acrobat 9 Pro or Acrobat 9 Pro Extended, the document will also be enabled for commenting in the free Adobe Reader - again, version 9 only in this case.

Now those of you in small businesses, or working from home, or in a department without technical resources, can scratch off "IT Manager" from the list of tasks you have to do in addition to your regular day job. Unfortunately, we can't help with the plumbing problems you have.

Commenting on Video: Your camera will still add 10 pounds of weight though

So, here's the next area of Acrobat 9's new collaboration features I'm really excited about...the ability to comment directly on video. But it's more than just adding a sticky note to an embedded video clip...

Acrobat 9 will tie the comment or markup you add to the video to a frame and write the timecode in to the text pop-up.

Then, you click on a comment in the Comments pane at the bottom of the document window and jump back to that particular frame. To see it in action, click here to view a video tutorial.

Here's why I am excited about this capability...

  1. You can use the same tools and methodologies you use already for text and images in a PDF document - no additional training required.
  2. You can enable the PDF for comment, markup and analysis in Acrobat 9 Pro and Acrobat 9 Pro Extended, and Reader 9 users can give their feedback on the video too.
  3. You can do exactly the same thing with embedded Flash content and essentially any video clip (that you have the rights to share).
  4. You can embed the video with other content - or a bunch of videos in a single file - and make all of it part of a Shared Review, say, as well as secure it to prevent changes or control access.

A few things to keep in mind though. For the Adobe Premiere Pro users reading this right now, this is not the same thing as Clip Notes. That is specifically for Premiere Pro-based workflows. The other important thing is that this is for Acrobat 9 and Reader 9 only, as it uses the new Rich Media Annotation type for embedded video and Flash.

Acrobat 9! It's here! I'm about to lose control and I think I like it!

So, there I was, reading my favorite txt-speak guide, when I almost dropped my mobile phone on the announcement of Acrobat 9! DGA! Acrobat 9 is WKEWL! It WFM!*

Well, maybe not, as I've known about the release of Acrobat 9 for a while now. And I haven't got a clue about this txt speak thing. But believe me when I say to you my friends, I have been chomping at the bit to tell you all about this truly exciting release, especially when it comes to the collaboration side of things. I mean, really exciting!!

There are lots of goodies online right now that you can take a look at, but over the coming days I'll be sharing with you more details about what Acrobat 9 offers for reviews and document-based collaboration. Have I mentioned how excited I am?

So, what's new when it comes to getting feedback from others? Let's start with a biggie...

  • Synchronized document views aka page view sharing. Wow! This one has to be seen to understand the power it has. Just imagine being able to almost instantaneously control the view of someone else's PDF document in Reader 9 or Acrobat 9 at the same time, as if you were standing next to them, when in fact you're on the other side of the country. Or the world. Just think about how much quicker you'll be able to complete a project accurately.
  • Shared Reviews using Acrobat.com. Oh, and you thought Acrobat 9 was big news? Well, on top of that, Adobe has announced Acrobat.com, a suite of online hosted services for sharing and collaborating on documents. Shared Reviews are not new, but it required you to set up and use your own servers. Not necessarily so anymore. Now you can use Adobe's Acrobat.com servers to very easily collect and track comments as part of a Shared Review. It's really easy in an exciting kind of way.
  • Real Deadlines in Shared Reviews. Shared Reviews had deadlines in Acrobat 8. They were about as strictly enforced as Hartford, Connecticut's law prohibiting the crossing of streets while walking on your hands. Well, now they are enforced. You can set a local date and time for a review to end, and if that time passes, reviewers will no longer be able to submit their comments.
  • Comment on video. Yes, that's comment directly on to embedded video, using exactly the same Acrobat annotation tools you use to comment on text and images in a document. You can also use a new 3D Comment tool to add comments to 3D objects that stay in view even when you change the 3D view.

That's only for starters (or appetizers for those of you in the USA). I'm going to let you know a lot more about what you can do in Acrobat 9 over the coming days and weeks, and where you can find out more so you'll be ready to go once the software (or trial version) is available.
